Privacy policy

Who we are
Cosmos IT Ltd. is a software company based in Richmond, British Columbia, Canada. This policy explains what personal information we collect through our website, cosmosit.ca, why we collect it, and the choices you have. It applies only to this website; the software we build and support for clients is covered by separate agreements.
What we collect
We collect only what you choose to send us and what any web server records by default:
- Contact form. Your name, your email address, your company name if you provide it, and the text of your message.
- Server logs. Our web host keeps standard access logs: the IP address of the device making a request, the browser and operating system it reports, the pages requested and the time of each request.
We do not ask for, and do not want, sensitive personal information through this website.
Why we use it
We use the information from the contact form to reply to your enquiry and, if a conversation follows, to keep a record of our correspondence with you. We rely on your consent, which you give when you submit the form, and you can withdraw it at any time by contacting us. Server logs are used only for security, troubleshooting and capacity planning.
Cookies and tracking
We do not set cookies. We do not use analytics services, advertising networks, social-media plug-ins or any other third-party tracking on this website. The fonts and other assets the site uses are served from our own server, so visiting cosmosit.ca does not send a request to anyone else.
Who we share it with
We do not sell, rent or trade personal information. The information you send us is processed on our behalf by the companies that provide our email and web hosting, under their own confidentiality obligations. We disclose personal information to others only when the law requires it or when you ask us to.
How long we keep it
We keep correspondence for as long as we need it to handle your enquiry and any business relationship that follows from it, and for as long as we are required to keep business records. You can ask us to delete your correspondence earlier, and we will do so unless we need to keep it for a legal reason. Server logs are kept by our web host for a short rolling period and then deleted.
Your rights
Our handling of personal information is governed by the Personal Information Protection and Electronic Documents Act (PIPEDA) and by British Columbia’s Personal Information Protection Act (PIPA). Under these laws you may ask us what personal information we hold about you, ask us to correct it, withdraw your consent to our use of it, and ask us to delete it. To exercise any of these rights, write to us at [email protected]. We will respond within the time the law allows.
If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner for British Columbia.

This website links to Octio.ai, Musicista and LinkedIn. Those sites have their own privacy practices, which we do not control. Please review their policies before sharing personal information with them.
Changes to this policy
If we change this policy, we will publish the new version on this page with a new date at the top. We will not reduce your rights under this policy without your consent.
